The timesheet approval and feedback process
Up-to-date, accurate timesheets are required for:
- Monthly reporting to clients
- Internal reporting on client profitability and retainer clients
- Determining if jobs are profitable and justifying extra budget where applicable
A timesheet approval process is essential to ensure that timesheets are accurate and up-to-date. Insight will help your agency achieve this through a carefully designed process of pre-defined deadlines, email alerts and feedback at various levels in the agency.
The process is as follows. Please see the picture below for visual overview of these steps:
- Staff members should complete their timesheets for the previous week by 10am on Mondays. At 10am relevant staff will be sent the Timesheet Target Hours Reminder.
- Those who complete their timesheets by 2pm on Mondays will score 100% for on-time submission. For more about this, see On Time Submission of Timesheets.
- From 2pm on Mondays, timesheet administrators can approve timesheets on the basis of accuracy and completeness. For more about this, see Timesheet Approval Instructions.
- On approval of a person's timesheet, a Timesheet Approval Feedback email is sent to them with any comments made by the timesheet administrator.
- At 10am on Tuesdays, timesheet administrators will receive a Timesheet Administrator Approval Alert if they have outstanding timesheets for approval.
- At 2pm on Thursdays, all timesheet administrators will receive a Timesheet Administrator Summary of the performance of their team for the previous week.
- At 10am on Fridays timesheet executives will receive an email to inform them of any timesheet administrators that have not approved their timesheets.
